Business and Finance Assistant
Position Description:
The person in this associate staff position, under the supervision of the Deputy Executive Director of Business and Finance, ensures the smooth daily financial and business operations of the National Education Association Rhode Island. The Business and Finance Assistant works directly with the Deputy Executive Director of Business and Finance to support the Mission, Vision, and Core Values of the National Education Association Rhode Island (Association). The Association serves and supports K-12 teachers, K-12 Education Support Professionals, Higher Education Faculty and Staff, State and Municipal employees, and advocates for great public schools for all.
Summary of Duties and Responsibilities: Assist the Deputy Executive Director of Business and Finance in completion of daily business affairs.
Accounting
- Process all aspects of Accounts Payable
- Reconcile monthly credit card statements.
- Assist with the administration of payroll and employee benefits.
- Process and Record cash receipts
- Prepare and maintain records for bank deposits.
- Record and report on grants received.
Dues
- Maintain dues accounting records on the membership data systems utilized by the organization.
- Transmit monthly dues assessment to local union treasurers.
- Process and record dues received by local unions.
- Monitor all electronic funds transfer payments from local unions.
- Perform periodic membership/dues accounting and recording functions (monthly dues billing, dues refunds to locals)
- Reconcile monthly dues accounts.
- Prepare routine periodic and year-end reports for dues.
Membership
- Serve as backup to the Member Data Organizer for membership functions.
- Create and assist in processing NEARI Retired Membership dues forms.
- Assist in maintaining up to date records of local union treasurers and presidents.
- Provide support services for leaders and staff on membership and dues.
Legal Billing
- Enter monthly timesheets from attorneys in the legal billing system.
- Run legal billing reports.
Office Management
- Order all office supplies and maintain an appropriate inventory of office supplies.
- Manage accounts with office supply vendors.
- Monitor and manage electronic postage meter and internal telephone system.
- Assist in other office management coordination.
- Assist with the coordination of the NEARI Delegate Assembly
Perform other relevant duties as assigned.
Education
- Minimum Associates Degree in Business, Finance, Accounting, or related field
Qualifications and Experience
- Proficiency in the use of Microsoft Office applications (i.e., Word, Excel, Outlook, PowerPoint, etc.)
- Experience in bookkeeping and accounting
Knowledge and Abilities
- Office skills including telephone skills.
- Self-Directed. Able to finish projects within timelines and without direct supervision.
- Ability to gather and organize information, develop reports.
- Ability to learn advanced computer operations and processes.
- Effective verbal and written communication skills
- Ability to work in a team environment.
- Ability to expand knowledge and skills in a rapidly changing environment.
Working Environment
- Work is performed at the NEARI Headquarters building, with meetings both in-person and online.
Salary and Fringe Benefits
Salary is commensurate with qualifications and experience. Fringe benefits include annual and sick leave; medical, dental, and vision insurance, life, and disability insurance; pension; and 401(k)plan.
Salary Range: $41,000 – $75,700
